The words the app uses, each in a sentence or two. Where a guide explains the idea properly, it is linked.

Activity log also: project activity

The owner-only record of who changed what in a project: uploads, placements, retractions, access, invitations. Views and downloads are in Analytics instead. Review project activity →

Artifact

A table, chart or document the AI assistant builds during a conversation, shown in the Artifacts rail with version history and export options. Export a questionnaire or an artifact →

Capability

An on/off switch that extends a role on a folder or file. Can download, View versions, No watermark, No password, Manage redaction, View unredacted. How access works →

Citation

The reference on every fact the AI took from a document: a page, a cell range or a web page. Select it to open the source. How the AI assistant works →

Credits

The currency for AI work, from your organisation's plan and top-ups. Uploads, storage, manual placement and Word exports do not spend credits. Credits and billing →

Dataroom also: index, VDR, virtual data room

The numbered folder structure buyers navigate. A file appears in it only once it is placed there; the upload stays in the Workspace. Workspace and Dataroom →

Deal Portal also: buyer portal, portal

The separate site external users sign in to. It shows only the Dataroom folders their group holds a role on, plus Q&A and, if enabled, an AI chat. Set up and brand the Deal Portal →

Download password

A password that downloaded PDFs, and ZIPs, require to open. Shared with recipients outside the room; lifted per group with No password. Protect downloads with a watermark and password →

Evaluate also: evaluation

External access also: activate access

The switch on an external group that lets its members enter the Deal Portal. Invitation emails go out only once it is on and the data room is published. Invite buyers to a data room →

External group also: buyer group, external team

A team of external users, typically one buyer organisation and its advisers. It holds Viewer at most, on Dataroom folders and files, and its members never receive individual grants. Invite buyers to a data room →

Index number also: index reference, numbering

The number in front of every Dataroom folder and document, such as 1.2.1. Numbers follow the structure in Preparation and stay stable once the room is published. How the Dataroom index works →

Inherited access also: via contents, direct grant

A role a person or team holds on a folder or file because it was granted on a parent, the whole Dataroom, or a team. It can be strengthened on the child but only removed where it was granted. How access works →

Job manager

The panel behind the ⋮ menu next to Upload that lists upload sessions and ZIP downloads of the last 30 days. Upload problems →

Locked

The final, irreversible state. Nothing can change; buyers keep reading what they had, and the room runs on the Archive tier if it is billed. Lock the data room →

NDA gate

The optional requirement that external users accept a non-disclosure agreement, as text or a PDF, before they enter the portal. Acceptance is tracked per person. Set up and brand the Deal Portal →

Organisation role also: Admin, Member, Guest

What a person may do anywhere in your organisation. Admin, Member, Guest, or External for Deal Portal participants. How access works →

Place with AI also: placement suggestion, AI placement, Scan Workspace

The option in the upload dialog, and the Scan Workspace action, that lets the app propose a Dataroom slot for each file that clearly fits. Nothing is placed until you accept a suggestion. Place documents with AI →

Placeholder

A named slot inside a Dataroom folder that expects a specific document, for example "Articles of association". Placing a file fills it; the completion counter counts filled placeholders. How the Dataroom index works →

Placement

The link between an uploaded file and a folder or placeholder in the Dataroom. Placing a file creates it; retracting removes it while the file stays in the Workspace. Place documents in the Dataroom →

Preparation also: draft

The first state of a data room, before publication. Everything can still be added, moved, renamed and deleted, and no external user sees anything. The data room lifecycle: Preparation, Published, Locked →

Processing

The file status while the app reads a document's text, renders its preview and indexes it. Downloads work already; search, the viewer and the AI wait for it. Upload problems →

Published

The state after publishing. Buyers can enter, files can still be added and moved, removals become retractions, and index numbers stay stable. The data room lifecycle: Preparation, Published, Locked →

Questionnaire also: analysis, policy, statement

Redaction also: Redaction Studio, information type

Hiding passages in a document for readers without clearance. Done in the Redaction Studio; only approved redactions are applied, and clearance is granted with View unredacted. How redaction works →

Retraction also: retract

Taking a file out of a published Dataroom. The placement is removed and logged in the audit trail; the document stays in the Workspace. The data room lifecycle: Preparation, Published, Locked →
