Credits and billing

What credits pay for, where to see your balance, what happens when you run out, and how a published data room is billed.

Two things are billed separately: your organisation's plan with its monthly credits, which pay for AI work, and each published data room, which has its own subscription paid either by you or by your client. Knowing which is which explains most surprises, from a file stuck on Balance Insufficient to a publish button that asks for payment.

Essential concepts

  • Credits are the currency for AI work. Every action that calls the AI spends them: chat questions and documents the assistant writes in chat, questionnaire evaluations, AI placement and document checks, AI-based redaction scans, and exported slide decks. Storing documents and manual placement do not use credits; processing an upload uses a small amount per page. Keyword redaction and Word exports do not use credits either.
  • Plans. Starter includes 5,000 credits a month, Professional 25,000, Enterprise is custom. A self-serve account starts on a free plan with 500 credits and 500 more each month. Unused monthly credits roll over for up to two billing periods.
  • Balance. Plans & credits, in the account menu, shows Credits remaining broken down by current period, rollover and non-expiring credits, the Usage History chart, and the Credit history of grants and purchases.

What running out looks like

Credits run out quietly, so it helps to recognise the signs:

  • The AI assistant shows You're out of credits. Top up to continue where you left off. and stops sending, or You've used your free credits. Pick a plan to keep going. on the free plan.
  • New uploads show the status Balance Insufficient with the hint Out of credits — add credits to process this file. The upload itself succeeded and the file is stored, but its processing is paused, so the viewer, search and the AI wait for it; processing resumes on its own once credits are added.
  • Any other AI action fails with Insufficient balance. Please top up your account. Members are told to ask an admin.

Adding credits or upgrading the plan clears all of these; nothing has to be re-run by hand except a redaction scan that paused, which offers to resume.

How a data room is billed

Publishing a data room needs an active subscription for that project, separate from your plan. The project's Billing tab shows its state and, at publish time, the choice:

Send payment requestEmails your client a secure link to review and pay. The room goes live immediately for a 7-day grace period; a reminder goes out before it ends.

If the request is not paid within the grace period the room is blocked: buyers lose access, your team sees Data room suspended, and nothing is deleted. Access returns the moment the payment is settled; you can also Resend request or Pay now yourself. A room left blocked can be deleted after about six weeks; you are warned before that happens.

Two tiers exist for a published room, Standard (1,000 credits a month for the room) and Premium (2,000 credits a month). Locking a room switches it to the cheaper Archive tier, which keeps it readable for existing buyers; the lock dialog handles the switch.

The state moves from Preparing, or Quoted once a quote is out, to Grace period or Active. It turns Blocked if a request goes unpaid, and Ended once the subscription is over.

Quotes are proposals only: creating or sharing a quote never charges anyone or publishes anything. Cancellation always takes effect at the end of the paid period.

Buyer AI chat and credits

When you allow an external group to use the AI chat in the Deal Portal, you set a Monthly team credit limit for that group first. Their questions are billed to your organisation up to that limit, which resets at the start of each month; a group that reaches it sees This team's monthly AI chat limit has been reached.

Availability and limitations

  • Balance and usage are per organisation, shared by all its users.
  • Project billing, quotes and payment requests are managed by the project owner or an organisation admin.
  • The exact credit cost of an action depends on the document size and the model used; Usage History is the place to see what a day's work cost.
