Lock the data room

Seal the published index permanently at the end of the review so it becomes the audit record.

Locking freezes the published index for good. Nothing can be added, retracted or edited afterwards, and there is no unlock. Do it when the review is over and the index must become the permanent record of what was shared.

Before you start

The data room is Published. Lock is offered only then.
Every late document has been placed and every retraction is done.
You can edit the Dataroom (an owner or editor of the project) and can type the project's name to confirm.

Steps

Open Files › Dataroom. The state chip reads Published and offers Lock.
Select Lock and read the consequences: all edits, retractions and additions are disabled, the published index becomes the permanent audit record, and this cannot be undone.
Type the project name exactly as shown and select Lock VDR. If the room has its own subscription, the same dialog switches it to the reduced Archive tier, which keeps it readable for existing buyers. Close and archive a data room covers the exports to take before locking.

Check the result

The state chip reads Locked and no longer offers an action. External users keep the access they had; they simply see an index that no longer changes.

If something goes wrong

Lock is refused with The Index is being updated; retry locking.

Someone is placing, moving or renumbering files at that moment. Wait for the change to finish and lock again.

You need to add a document after locking

Locking cannot be reversed. Share the document through another channel, or create a new project for a later phase of the deal. Documents that were in the room also stay protected from permanent deletion, including ones retracted before the lock.
