Review project activity

See who changed what in a project and its data room, from uploads and retractions to access and invitations, filter it, and export it for an audit file.

The activity log answers "who changed this, and when?" for a project: files uploaded, moved, renamed or retracted, the index published or locked, access granted or removed, people invited, answers published, and exports taken. It also records downloads, by buyers and by your own team. What buyers viewed is in Analytics; see See who has accessed what.

Before you start

  • You are an owner of the project, or an organisation admin. Other members do not see the log.
  • History starts when recording started for the project; earlier changes are not included.
  • History is deleted 90 days after the data room is archived or the project is deleted. Export it before then if you need it for your records.

Steps

  1. Open the project and select the Project activity icon in the header, next to the notification bell. The Activity page lists changes newest first, grouped under Today, Yesterday and earlier dates.

  2. Read a row: the person, or AI assistant and System for automatic changes, followed by what they did, for example uploaded 12 files, retracted GOV-002 from the data room, gave Halden Partners access to 1 Corporate & Governance or downloaded 14 documents. Grouped folds bulk actions into one row; Show details opens them. For a buyer's ZIP download the details list each document; for a download of more than 200 documents only the total is recorded, and the details say so. Switch to All events to see every change on its own row. Chips such as Failed or Bounced flag an action that did not complete, for example an invitation email that could not be delivered.
  3. Narrow the log. Choose 7 days, 14 days, 28 days or a custom range, and add filters for a User, a Team, a Documents item or folder, or an Activity type: Files, Folders, Index, Access, Invitations, Teams, Deal portal, Q&A, Questionnaire analysis, Exports, and more. Each filter takes one value, and a Team, document or folder filter replaces the others. Team shows changes to that team's access and membership, not what its members did; to see what one person did, use User. Filter to this on a row's subject shows the history of that one document or person. The filters are part of the page address, so you can share a filtered view with a colleague.
  4. Open what a row is about with the small link icon next to its name: documents open in the viewer, folders in Files, questions and questionnaires on their own pages.
  5. Select Export and Excel workbook to download the filtered log. The workbook has an Export Info sheet with the project, the period and the exporting user, and a Timeline sheet with one row per change, all times in UTC. Very large exports stop early, at 20,000 rows or at a size or time limit, and the Export Info sheet says so; narrow the date range and export again.

Check the result

The rows match the filters shown in the filter bar, and the downloaded workbook's Export Info sheet names the same period.

If something goes wrong

The Project activity icon is missing

The log is for project owners and organisation admins. Ask a project owner for access, or use Analytics for buyer views.

A change you just made is not listed

Access and invitation changes can take up to a minute to appear. Reload the page after a short wait.

No changes match these filters

Widen the date range or select Clear all. For a long history with narrow filters, Keep looking searches further back.

This resource could not be opened

The file, folder or question was deleted, or your access to it changed. The log keeps the row either way.
