Set up and brand the Deal Portal
Give buyers a portal that carries your name and logo, decide whether they must accept an NDA, and get the settings right before invitations go out.
The Deal Portal is the site buyers sign in to. It shows your name and colours, not Valutico's, and it can require an NDA before anyone sees a document. Everything below lives under Project Settings › Deal Portal, and the portal itself is created the first time you open that tab.
Before you start
- You are a project owner.
- You have the logo and the brand colours you want buyers to see, and the NDA text or PDF if you require one.
- Invitation emails carry the portal's display name as their sender name, so decide what buyers should see in their inbox before you invite anyone.
Steps
- Open the project, go to Project Settings and select the Deal Portal tab. The top of the page shows the portal's state, Draft until published, the readiness chip, Preview portal and the portal link. The settings form sits below.
The chip counts what still blocks publishing; each line links to where you fix it.1.Deal Portal tab2.Portal state3.Preview portal - Under Identity, enter the Display name buyers will see on the sign-in page and in every invitation email, add a Logo (PNG, SVG, JPG or WebP, up to 1 MB) and a Support email.
- Under Palette, set the primary, secondary and accent colours, or select Use brand kit to reuse your organisation's colours. The preview card on the right updates as you type; switch it between Login and Portal to see both screens.
The preview shows the sign-in page and the portal home with your name and colours.1.Identity2.Palette - Under Welcome message, optionally write a short introduction. It appears on the portal's landing page and above the NDA when one is required.
- Under NDA gate, decide whether buyers must accept a non-disclosure agreement before entering. Switch on Require NDA acceptance and either Write text or Upload PDF (up to 10 MB). Each buyer accepts individually on first entry, and the Teams page shows who has. Changing the NDA after publishing asks every buyer to accept again.
With the requirement off, buyers go straight to the data room.1.Welcome message2.NDA gate3.Require NDA - Under AI Q&A drafting, decide whether the AI prepares a draft answer to every new buyer question for your team to review, edit and publish. It is On for new portals. A portal created earlier may show Off: switch it on and select Save changes, otherwise it stays off. Switch it Off to have your team write each answer; they can still use Draft with AI on individual questions.
- Select Save changes. Unsaved changes block publishing, so the readiness chip reminds you if you forget.
Check the result
Preview portal opens the portal in a new tab as a buyer group would see it, with your name, logo, colours and, if required, the NDA page. The readiness chip no longer lists Add NDA text or a PDF, or turn off the NDA requirement. The remaining steps are about access, covered in Invite buyers to a data room: create an external group, grant it folders and activate it, then publish.
If something goes wrong
Emails use the portal's Display name, not the project name. Change it under Identity and save.
Emails are sent when the portal is published or enabled, and when a person is added to a group that is already live. Check the readiness chip: an NDA requirement without text or PDF keeps the portal in Draft. Buyers are only emailed once their external group is activated, so a portal published before any group is active sends nothing yet. Fix the listed items, then select Publish data room.
The app and the portal share one sign-in per browser. Signing in to the portal as a buyer replaces your own session. Use Preview portal, which needs no buyer sign-in, or a private browser window for the buyer account.
The same message covers a portal that is not published yet, a group whose external access is switched off, and a person who is not in any group. Check the portal state on this tab, then the group's External access and members on the Teams page.
