Import from connected storage
Bring documents into the Workspace from Google Drive, OneDrive or SharePoint, keeping their folder structure, without downloading and re-uploading them.
When the documents already sit in Google Drive, OneDrive or a SharePoint library, import them from there. The import copies the files into the Workspace once, with their folder structure, and can place them into the Dataroom in the same step, just like an upload. From then on they are ordinary data room documents.
Before you start
- You are an owner or editor of the project.
- You can sign in to the Google or Microsoft account that holds the documents. For SharePoint sites, an organisation admin of your workspace must approve the app once, from the SharePoint tab of the import dialog, signing in with a Microsoft 365 administrator account; until then only the My files tab of OneDrive works.
- One import takes up to 5,000 files and 5 GB in total, with no single file above 500 MB. A selection over these limits is refused before the import starts.
Steps
- On Files › Workspace, open the Upload menu and select Import. In an empty Workspace the page offers Import from connected storage instead.
- Choose the source: Google Drive, or OneDrive + SharePoint. A sign-in window from Google or Microsoft opens; sign in and allow read access. The app only ever reads from the source.
- Pick the files or folders. Google shows its own picker; for Microsoft the app shows a browser with a My files tab and, once approved, a SharePoint tab with your sites and document libraries. Ticking a folder takes everything inside it. For OneDrive and SharePoint, select Review selected items when you are done; Google Drive goes straight to the next step.
- Choose Where should these files go?, as for an upload: Workspace only, Place manually in Dataroom or Place with AI. Decide what happens If duplicates are found (Keep, Replace or Skip), choose the Destination folder in the Workspace, and select Import files.
- Watch Import progress: Total, Imported and Failed update as each file lands. You can close the dialog; the import continues, and Job manager keeps its record.
Check the result
The files appear in the Workspace under the destination folder, in the source's folder structure, and go through processing like any upload. If you chose a Dataroom option, they are placed, or proposed for placement, as with an upload. Google Docs, Sheets and Slides arrive as Word, Excel and PowerPoint files.
If something goes wrong
The selection is over a limit: a file above 500 MB, more than 5,000 files or more than 5 GB in total. The message names the file or the limit. Remove it from the selection, or split the import, and try again.
The list names them with the reason, for example a file whose size the source did not report and that turned out to be over 500 MB. Import those separately or upload them from your computer.
Imports are copies, not links. Import the changed file again, or upload the new version with Upload new version on the file's ⋮ menu.
