Download documents

Save one document or a whole selection as a ZIP, and know what to expect from watermarks, passwords and files left out.

Reading in the viewer is always possible. Downloading is a separate permission the deal team grants per folder, so what you can take away depends on your group. You can save a single document, or tick several documents and folders and receive them as one ZIP file.

Before you start

  • The deal team has allowed downloads for your group in the folders you need. Every file shows a download icon; files you may not download are refused when you select it and are left out of a ZIP.
  • A current browser that is allowed to save files.

Steps

  1. For one document, move the mouse over its row and select the download icon on the right.
    The eye icon opens the viewer; the arrow icon downloads.
  2. For several documents or whole folders, tick their rows, or Select all in the header of the list. A bar below the list shows how many items are selected; select Download selected there. Select all takes the rows loaded so far; in a large folder, select Load more first to include the rest. The selection is cleared when you open another folder or search, so to take files from several folders, tick the folders themselves.
  3. Wait for the ZIP. If exactly one document is ticked and no folder, Download selected saves that file directly, as the row icon does, and there is no ZIP. Otherwise a panel opens with the progress, Preparing ZIP…; when it reads Ready to download, select it to save the ZIP. Only one ZIP is prepared at a time; starting another while one is running shows the one in progress.
  4. Open the files. Documents carry the names and index numbers you see in the data room, for example 2.1.1 Board minutes. Depending on the deal team's settings, PDFs carry a watermark on every page and a password. A single PDF asks for the password when you open it; a ZIP asks for it once when you extract it, and the files inside are not protected separately. The deal team shares the password with you outside the portal. A Word or PowerPoint document with redactions arrives as a PDF and is treated like one. Other files, such as Excel workbooks, CSV and text files, images, and Word or PowerPoint documents without redactions, arrive as the original, without a watermark or password.

Check the result

The file or ZIP is in your browser's downloads. Downloads are recorded for the deal team, together with your name and the time.

If something goes wrong

The downloaded PDF or ZIP asks for a password you do not have

The deal team set a download password for the project. Ask them for it; it is not sent by the portal.

Nothing to download

Nothing to download. The selection contains no downloadable files. None of the selected documents may be downloaded by your group, or they are still being processed. Download permission is set per folder; ask the deal team to extend it.

Some files were left out of the ZIP

The panel shows how many files were left out; Details lists each one with the reason, for example no download permission or a document that is still being processed. Download the rest, and ask the deal team about the files you need.

A prepared ZIP is kept for one day. Select the documents again and start a new download.

You don't have permission to download this file

Download permission is set per folder. Ask the deal team to extend it if you need copies from that folder. To download a whole folder you may use, tick it and select Download selected; folders have no download icon of their own.
